Include the entire occasion
Describe setup, guest arrival, the main activity and breakdown. Include staff, caterers and other vendors, not only ticketed or invited guests. Explain whether attendance is continuous or concentrated into sessions and whether people can use permanent restrooms throughout.
Confirm the property’s role
Homestead’s parks and facility rental information lists several different types of spaces. A venue booking does not settle every supplier arrangement. Ask the responsible contact about temporary equipment placement, access and any documentation they require. Do not rely on a rental enquiry as venue approval.
Make facilities part of the guest layout
Place toilets and wash stations where people can find them without crossing loading activity or interrupting food service. Consider accessible routes, queues and the space needed around doors. Leave the arrangement workable after seating, decorations and entertainment equipment are in place.
Explain any separate backstage, vendor or participant areas so the team can discuss provision for the different users.
Plan how the site closes
Discuss service attention during longer events and confirm collection access after the last activity. The organiser who leaves with the guests may not be available for equipment pickup. Name a closing contact and align the accepted removal plan with the venue’s handover requirements.
