Describe attendance as a pattern
Give expected arrivals, session lengths and the periods when the most people are present together. Include crew and vendor use outside public opening times. An overall visitor total alone does not show how heavily equipment is used at a particular moment.
Protect service access in the layout
Ask the provider how service vehicles will reach the agreed position. Align any servicing with the organiser’s access and crowd-management plan. Do not assume a vehicle can pass through a live event area just because it used that route during setup.
Assign routine observation
A named organiser should know how to report a blocked route, missing supplies or an equipment problem. Agree what onsite staff may do and what requires the rental provider. If an attendant or extra cleaning is desired, include it as a separate request rather than assuming it is part of a standard delivery.
Keep signs and pedestrian approaches legible as stalls, barriers and queues shift.
Prepare the overnight and final handovers
For repeated sessions, explain when the property is unattended and how access will be controlled. Confirm arrangements for any changed demand on later days. At the end, keep a receiving contact and clear collection route until the provider has completed the agreed pickup.
