Explain the receiving procedure
Identify the gate, approved contact and any supplier check-in process. Describe vehicle restrictions or areas the provider must not enter. Do not send confidential security codes in a general public form; agree an appropriate way to share necessary access instructions with the team.
Describe shifts and separate user groups
Include contractor crews and overlapping shifts when explaining demand. Clarify which permanent facilities are available to which people. If different work zones cannot share one restroom location, discuss that limitation rather than combining all users into one count.
Keep facilities outside operating conflicts
Review the proposed position with the person responsible for the property. Consider moving equipment, loading activity and future work phases. The provider needs a usable delivery and service route, while users need an appropriate walking approach. Site-specific safety requirements belong to the responsible employer and specialists.
Document ongoing responsibilities
Agree service windows and who authorises a change in quantity, location or duration. Record the procedure for reporting a fault or missed access opportunity. For a shutdown or temporary maintenance project, also identify who coordinates removal once the visiting work crews depart.
