Name the decision-maker for each part
Identify who accepts the order, who approves placement and who receives the equipment. They may be different people. Provide a working contact for an arrival question and keep the agreed location available to that person, not only in an office email.
Share the relevant receiving procedure
Explain the entrance, any check-in process and the times when a property representative is required. Ask the provider whether the requested arrangement can be supported. Avoid putting private codes or sensitive site instructions on public pages.
For ongoing rentals, check that the same procedure works for servicing. An initial escorted delivery does not automatically provide access for future visits.
Keep changes attached to the rental record
If a department needs another unit, more time or a different position, route the request through the agreed coordinator. Review the effect on service, access and collection. Do not let several informal instructions replace the accepted equipment arrangement.
Close the receiving responsibility deliberately
When the project ends, someone still needs to admit the collection vehicle and confirm the equipment location. Leave those details with the property team if contractors depart first. Supply the Doral address and operating schedule for individual route and equipment review.
